Create an Outlook Rule for CloudAlly Backup Failure Alerts

What This Rule Will Do

CloudAlly sends backup status alerts from support@cloudally.com whenever a scheduled backup finishes.

In this article you will create an Outlook rule that looks for CloudAlly messages where the subject contains "0 Backup items Failed".

You can choose whether those messages are highlighted, moved into a dedicated folder, or copied to a shared mailbox used by your operations team.

Create the Rule in Outlook for Windows

Open Outlook on your computer and find a recent CloudAlly alert email from support@cloudally.com with "0 Backup items Failed" in the subject.

Right-click the message, point to "Rules", and then select "Create Rule…".

In the Create Rule window, check "From support@cloudally.com" and also check "Subject contains".

In the Subject contains box, make sure the text includes exactly: 0 Backup items Failed.

Under "Do the following", choose the action you want, such as "Move the item to folder" and then select or create a folder like "CloudAlly – Successful Backups".

Click "OK", then confirm that you want to run the rule on existing messages if you would like Outlook to organize older CloudAlly emails as well.

Create the Rule in Outlook on the Web (OWA)

Sign in to Outlook on the web at https://outlook.office.com using your Microsoft 365 account.

Select the gear icon in the upper right corner and click "View all Outlook settings".

Navigate to "Mail" → "Rules" and choose "Add new rule".

Give the rule a name such as "CloudAlly – 0 Backup Items Failed".

Under "Add a condition", add a condition "From" and set it to support@cloudally.com.

Add another condition "Subject includes" and enter 0 Backup items Failed.

Under "Add an action", select the behavior you prefer, for example "Move to" and pick your CloudAlly folder, or "Categorize" and select a color category.

Review the rule order to ensure it runs before any generic filing rules that might move CloudAlly messages elsewhere, then click "Save".

Test and Tune the Rule

After saving the rule, wait for the next CloudAlly alert or trigger a backup job if you have permission to do so.

Confirm that a message from support@cloudally.com with "0 Backup items Failed" in the subject follows the behavior you configured (for example, it moves into the CloudAlly folder).

If you notice that other CloudAlly alerts with different subjects should be handled separately, create additional rules with more specific subject filters such as "Backup items Failed" or "Partial".
